Extending SAP Value, Speeding Access With New Tools

    7 October 2013

A lengthy process for data retrieval

An SAP user since 2006, Purcell Systems found over time that financial reporting from its big ERP system was inefficient, especially as managers began to request more information more quickly. Based in Spokane Valley, Wash., with international subsidiaries, Purcell manufactures thermally-managed outdoor electronic equipment enclosures. By 2012, the company seriously needed a way to expedite both ad-hoc and standard financial reporting processes.

“We had no real financial reporting capability within SAP,” explained Kevin Lybbert, senior cost/SAP analyst at Purcell Systems. “To access the necessary data, someone had to drop SAP information into Excel and then create the report. If any data changed, we had to go through all those steps again to make sure everyone was looking at the same numbers.”

Standard SAP reports did not provide financial data in the way Purcell needed it to appear, according to Patty Bordelon, global controller for Purcell Systems. The finance and accounting team was unable to consolidate financial statements properly in SAP, and both ad hoc and standard monthly and year-end closing reports were also an issue.

SAPinsider - Integrate Microsoft Excel Within Your SAP Environment for Seamless, Real-Time Reporting & Analysis

    11 April 2013

To make it easier to format and slice and dice data, many financial users manually cut and paste information from a data warehouse into a Microsoft Excel spreadsheet. Excel is often more intuitive for them than other reporting tools, and its familiar formatting capabilities and robust functionality support effective communication and easy calculations and modeling of financial data.

Even after an ERP implementation and the introduction of new reporting tools and capabilities, many financial users still prefer to use Excel as a front-end interface for structuring reports and manipulating data into a useful format. However, getting the necessary data from SAP systems into Excel can be a timeconsuming, multi-step process that requires help from the IT department, which must program queries for extracting the data and putting it in a data warehouse. Afterward, users must push the data a step further from the warehouse into Excel. Ad hoc report requests like these can become particularly demanding and time consuming for both the finance users and IT, and the more IT falls behind, the longer it takes for the finance department to receive the reports they need.

Avoid Pitfalls in Oracle R12 Upgrades with Excel-Based Financial Reporting Alternative

    31 October 2012

    OracleScene - Autumn 12

User acceptance and limited staff are among the top five risks in ERP upgrades, according to a recent survey. With that in mind, finance users and information technology (IT) professionals involved in upgrading Oracle E-Business Suite (EBS) to Release 12 (R12) should prepare for significant differences in General Ledger (GL) reporting in the absence of Oracle’s Client Application Desktop Integrator (ADI). The same holds true with desktop upgrades to Microsoft Excel 2007 or 2010 , where this has been known to cause Client ADI compatibility issues.

Used for years to produce ad-hoc Financial Statement Generator (FSG) reports, Client ADI was replaced in R12 by two browser-based applications: Web ADI and Report Manager for publishing FSGs into Excel. As financial professionals explore these new applications, they discover gaps with the familiar Client ADI functionality – gaps that could eventually place additional demands on IT resources already stressed by an ERP upgrade and testing. Many financial professionals who have used the new applications are considering an Excel-based alternative for filling those gaps so that comparable or improved functionality exists after an R12 upgrade, with minimal impacts on the IT staff.

Avista Empowers Decision making with GL Wand Reporting Tool

    26 September 2012

At Avista, a publicly traded utility headquartered in Spokane, WA, finance and accounting personnel identified the need to improve and accelerate reporting and analysis from their Oracle E-Business Suite environment. A particular area of focus was variance reporting, where Avista’s dynamic and fast moving business environment requires fast, flexible real time reports. To address this need, the company implemented GL Wand, an Excel-based reporting tool from Excel4apps that allows users to easily create, edit and publish finance spreadsheets and reports without IT assistance and with very little training. Because it was developed exclusively for Oracle Financials, GL Wand is easily integrated with that product and is simple to install and maintain.

  • OAUG Insight Summer 2012 - R12 Reporting Gaps

Filling Oracle R12 Reporting Gaps with Excel-Based Alternatives

    16 July 2012

Excel-based financial reporting solutions, like GL Wand from Excel4apps, are an attractive option for those looking to fill reporting gaps left from the R12 upgrade, both from a price and user acceptance standpoint.

Many organizations embarking on or contemplating an upgrade to Oracle E-Business Suite (EBS) Release 12.1 (R12) are unaware of changes in the new release that impact financial reporting from the General Ledger (GL). One such significant change is the replacement of Client Application Desktop Integrator (ADI), which has been used for years to produce ad-hoc reports, as well as for report manager functions and other critical tasks.

According to a recent OAUG survey, user acceptance is one of the top five risks in ERP upgrades. As IT and Finance groups approach an R12 upgrade, project success depends on fully understanding any limitations with the new reporting environment, as well as options for filling those gaps so users have comparable or improved functionality.

    ERP Post Implementation Challenges

    14 June 2012

The main aim for any organization to implement any form of ERP is for various reasons, more profit, better decision making, easy reach of customers etc bottom line is more and more profit and no doubt SAP is the best option any organization can have.

We have implemented SAP ERP with the standard functionalites with very little number of custom made reports. Initially it was very difficult to conclude whether SAP was taking us in the right direction since analysing and studying the system requires expert brains. We could see entries hitting finance from all directions and we were totally lost. IT department was given two options, either to discard SAP or proceed, the ball was thrown to our court. Like all the other departments did it would have been easy for us to submit our weapons and surrender. Infact we decided to gather all strength and fight. The main idea that guided us through the entire battle was if we have to surrender that would have been a defeat from our side not SAP's, since SAP is a best practice ERP practiced and succesfully run by hundreds of organizations through out the world. No doubt SAP is a 100 % proven best practice across various verticals. The more and more I explore SAP my passion towards SAP grows.

We finally won the battle, sorted out all issues, clarifications. But the final clarification will be having only when the cost sheet is prepared and tallying with the GLs. I have to mention one tool that helped me in preparing the cost with ease, Excelapps' GL Wand, in simple terms excellent and simple.

Using GL Wand and  MS Excel I have prepared a cost sheet with dashboards suiting for our requirement, only standard SAP and GL Wand used for the prepartion of the entire cost sheet.

Integrating Microsoft Excel within the Oracle or SAP ERP environment for live reporting & analysis

    3 April 2012

Director of Finance Online - Spring 2012
Organisations go to great lengths to implement Enterprise Resource Planning (ERP) systems and for very good reasons. ERP systems, such as Oracle or SAP, support data centralisation and eliminate islands of information caused by software applications that do not communicate. Despite these compelling reasons and the overall benefits of ERP systems in general, many users find them rigid and difficult to adapt to certain workflows and business processes.

In particular, financial and business analysts and accountants often cite the difficulty of creating financials reports within an ERP system’s data warehouse environment. In many cases, these financial ERP users depend on information technology (IT) staff to program the query, which takes time and creates dependency on another department. While having a standing request for scheduled reports might work, running ad-hoc reports that must be reviewed quickly by staff or delivered at the request of an executive can become an ordeal. Such pronounced dependency on the IT department from finance creates a high probability that productivity will be compromised, deadlines missed, and stress levels elevated. What’s more, data warehouses are expensive to maintain from an IT perspective and require a separate server.

Financial Reporting Tool Equals Time Savings for Destination Hotels & Resorts

    15 April 2010

Destination Hotels & Resorts (www.destinationhotels.com) functions with a lean IT support staff and is constantly looking for more efficient ways to operate. After installing Oracle's E-Business Suite (www.oracle.com) in 2006, the company gained unique insights into business and financial performance, but soon found that financial report generation within Oracle was time consuming for finance and accounting users. Destination Hotels & Resorts needed a tool that would allow these users to spend more time analyzing data rather than querying and formatting it for presentation.

In early 2007, a project team began the search for an easy-to-use tool for daily, monthly, yearly and ad hoc reporting. Like most financial professionals, the 100-plus business users at Destination are extremely familiar with Microsoft Excel, so the team was looking for a tool with a similar front end that could drill down to specific Oracle data.

For blockbuster success HBO casts Oracle E-Business Suite in a leading role

    18 January 2010

A recent article by that title appeared in the Oracle Profit Magazine, the Executive Guide to Oracle Applications, authored by Molly Rose Teuke and dated February 2010. It tells the story of the E-Business Suite implementation at Home Box Office (HBO), a subsidiary of Time Warner. HBO offers original programming content to upwards of 40 million subscribers in the U.S. via its HBO and Cinemax premium networks. Of course, much to our delight, GL Wand got a mention in a supporting role by Marie Mahony, vice president of financial operations and reporting at HBO. On the benefits of direct access to information in an integrated system like Oracle, Mahony had this to say.

“This means less reliance on static reports built by IT and more emphasis on dynamic real-time queries and analysis using standard Oracle E-Business Suite tools as well as a third-party reporting tool, GL Wand,” Excel4apps was mentioned by Oracle, as the Oracle Partner Product and IBM for the implementation services used by HBO. All products are available for immediate download and free trial, installing in minutes with no data warehouse and no additional hardware, setup or security configuration needed. Destination Hotels & Resorts Realizes Benefits of GL Wand

A recurring theme we constantly hear from our customers is that our products are so simple to support from an IT standpoint. For Destination Hotels & Resorts, supporting hundreds of Oracle business users with a staff of just three in IT is a constant struggle. When the company went looking for a tool that would provide more flexibility to its users for generating reports and meeting daily reporting requirements, they settled on GL Wand.

“What really made the difference for us was the willingness by Excel4apps to allow us to demo GL Wand live with our own data. We tested a number of different systems, but GL Wand ranked the highest of all the systems we tested based on our long list of priority requirements. The best part was that not only did our users love the features and functionality, but the installation, deployment, and training of more than 75 users took less than a week. Users were off and running within minutes of their training without any support from our IT staff,” says Martin Stanton, Vice President of Information Technology for Destination.
